Unit records
Export and print the roster
Prepare a clean roster for an inspection or spreadsheet workflow without changing the source record.
Guide at a glance
How to use this guide
Start with
Begin with the existing record and its history. Search before creating, and distinguish correction, status change, and deletion.
By the end
The authoritative record is accurate, linked, placed correctly, and still explains how it reached its current state.
The view determines the output
Search and filter the roster before exporting or printing. If the inspection covers one company, narrow the view first so the output contains the intended records.
Treat the exported file as a point-in-time copy. Changes made to it do not write back to All Cadets.
Prepare the roster
- 1Resolve obvious duplicates and missing placements.
- 2Filter to the formation or population the recipient needs.
- 3Sort by the field that makes the output easiest to review.
- 4Export for further analysis or print for a fixed inspection copy.
- 5Store or dispose of the copy according to school policy.
Minimize the data you take out
An export leaves the platform’s access controls. Include only the fields and Cadets required for the purpose, and avoid distributing copies more widely than necessary.
If a recipient only needs names and placement, do not include contact details.
Practical playbook
Checks, outcomes, and troubleshooting
Use this section when you are carrying out the task now, or when the ordinary path did not produce the expected result.
Before you act
- Confirm who will receive the output, why they need it, and the smallest set of records and fields that meets that purpose.
- Resolve visible duplicates, missing placements, and stale filters before generating the file.
- Choose export for further analysis and print or PDF for a fixed review copy.
Success looks like
- The output contains the intended formation, sort order, fields, and current records.
- No unnecessary contact or personal information leaves the platform.
- The recipient understands the output is a point-in-time copy and edits do not return to All Cadets.
| What you see | Likely cause | What to do next |
|---|---|---|
| Expected Cadets are missing | A search, formation filter, status filter, or pagination scope is still active. | Clear filters, confirm active status, then reapply only the intended scope. |
| The printed layout is clipped | The selected fields exceed the page width or browser print scaling. | Remove nonessential columns, use landscape orientation, and preview before printing. |
| Spreadsheet edits are not visible in the app | Exports are one-way snapshots. | Apply the authoritative correction to the roster in All Cadets. |
When to contact support. Include the output type, filters used, expected record count, actual record count, and a description of the missing or malformed content.
