Most of the people whose records this service holds are minors. That fact shapes how the product is built, but it does not make us the party responsible for their welfare. The section below is the most important one on this page.
Who is responsible for what#
Duty of care for a Cadet sits with the school, the district and the instructors who are physically present with them. In most states those instructors are mandated reporters under their own law, and their obligations run to their state authority - not to us. We supply software those adults use. We are not a party to the safeguarding relationship and we cannot substitute for it.

If you are an instructor deciding whether to make a mandated report, make it. Do not wait on us, and do not treat a report to this site as discharging that obligation. The two are not alternatives.
How the product supports this#
These are controls in the software, not commitments about staffing. Each one exists today and is described in more detail on the product and assurance pages.
- Access follows the chain of command. What a Cadet can see or change comes from the position they hold, not from a permission set attached to them personally. A Cadet who leaves a billet loses its access at the same moment.
- Units are separated. A unit’s roster, structure and records are scoped to that unit. Instructors at one school cannot see another school’s Cadets.
- Cadets propose rather than overwrite. A staff Cadet’s changes are held as requests for an instructor to approve, so a Cadet cannot quietly alter another Cadet’s record.
- Changes are attributable. The audit log records what changed, who changed it, when, and the previous value - including changes made by an administrator. If a record is altered in a way that later matters, the history is on file.
- Sessions expire. Inactive sessions end automatically and every session has a hard limit regardless of activity, which is the behaviour you want on a shared classroom computer a Cadet also uses.
What the product deliberately does not do
There is no message monitoring, no content scanning, and no moderation team reading anything. This software holds administrative records - roster, structure, billets, taskings, awards. It is not a communications platform and it does not observe what Cadets say to each other. Do not rely on it to surface a concern; a concern reaches us only because a person tells us.
What we expect of instructors#
- Follow your district’s child protection policy first. It outranks anything on this page.
- Keep instructor accounts to adults who are cleared to hold them under your school’s own vetting. Do not share an instructor login with a Cadet, including a senior Cadet staff member - the approval workflow exists precisely so that you do not have to.
- Grant approval-bypass to a Cadet position only where you would be comfortable with that Cadet changing the official record unsupervised, and review those grants at the start of each year.
- Remove access when someone leaves. Reassigning a billet moves its access; an instructor departing the program needs their account addressed directly.
- Treat the roster as student data. Exporting it puts a file of minors’ details on a device that is no longer covered by any of the controls above.
What we expect of Cadets#
Cadets holding staff positions handle other Cadets’ records. That is a real responsibility and the expectations are short.
- Use your own account. Never sign in as someone else, and never let another Cadet use your session.
- Look at a record only when your billet requires it.
- Do not take rosters or contact details out of the system - no screenshots to group chats, no exported lists.
- If you see something in a record that worries you about a Cadet’s safety, tell an instructor. If the concern is about an instructor, use the escalation route on the reporting page.

These addresses are monitored during working hours and no more than that. They are not an emergency service and must not be used as one.
